Digital Transformation for a Multi-Site Hotel Group

For one of our valued hotel group customers with forty properties scattered across the country, the end-of-an-era relic of Windows Server 2012 had become a pressing challenge. Half of the estate still ran on legacy servers, undermining performance, threatening security and forcing a costly refresh of physical hardware. The customer asked TMB to help modernise its infrastructure, standardise licensing and improve collaboration for thousands of employees and frontline teams.

We worked closely with the internal IT department to design a cloud-led transformation built on Microsoft Entra ID and Office 365. Instead of replacing each physical server, we recommended migrating to a centralised identity platform with multi-factor authentication, single sign-on and integrated Microsoft Teams across all sites. Licensing was standardised so that information workers were assigned Microsoft 365 Business Premium, while reception and housekeeping teams were provisioned with the

A phased rollout ensured smooth coordination across all forty properties without affecting guest operations. Throughout the project we decommissioned outdated on‑premises servers, reduced energy usage and established a more sustainable, future-ready environment.

The solution simplified access management, tightened security and boosted collaboration, letting people work together across distant locations as if they were next door. The customer noted that communication throughout the project was clear, risks were managed effectively and day‑to‑day operations remained uninterrupted.

Following full migration, the customer reported measurable improvements benefits: enhanced security through identity-based policies, lower operational costs and a significant reduction in IT issues for staff. They summed it up:

“TMB’s structured, collaborative approach delivered resilience, security and sustainability we only dreamed of before.”

This initiative positioned the group for their next era of growth and innovation, giving executives the confidence to invest in new guest experiences knowing their foundations are solid.
